THE TASK

Design a conversational experience that helped employees understand Marvin, its use of personal information and their choices before taking part. The experience needed to work within Microsoft Teams and support ongoing check-ins.

THE challenge

Sharing mental-health information at work requires confidence in how that information will be handled. The challenge was making privacy and consent understandable within a conversation, while accommodating different levels of comfort and working within Teams’ interface constraints.

Understanding employee concerns
We explored employees’ concerns about sharing personal health information at work, using two proto-personas to consider different levels of confidence and comfort.
Mapping conversational journeys
I mapped the information, response options and decision points across onboarding, check-ins, consent and withdrawal.
Applying Data Trust by Design
We used the framework to shape privacy explanations and consent decisions, making information available before asking employees to participate.
Designing within Teams
I translated the flows into conversations using Microsoft Teams’ available components, with supporting information and response options at key decision points.

Introducing Marvin

The onboarding conversation introduced Marvin and invited employees to explore whether it could help them. Short messages and clear response options offered a way to continue, decline or ask for more information.

Making privacy understandable

I organised privacy information into layers: a short explanation in the conversation, a “My privacy at a glance” summary and access to further detail. Employees could explore what data would be collected, how it would be used and what rights they had.

Making consent a choice

I separated consent to passive monitoring from manual check-ins. Employees could review the proposed data use, decline monitoring while continuing check-ins, or withdraw consent later.

Reflecting on mood

A weekly mood view brought check-ins together in a visual summary, giving employees a way to reflect on how they had been feeling over time.

Bringing the experience together

Working between Europe and Australia, we developed and tested a functional prototype with the Lua Health team. It brought onboarding, privacy information, consent and check-ins together in one conversational experience.
